Robert Frost Mountain Cabins Guest Policies

CHECK-IN & CHECK-OUT: 

Standard check-in begins at 3:00 PM. Upon arrival, please proceed directly to your cabin and let us know you’ve arrived so we can greet you. If you expect to arrive earlier than 3:00 PM, please call our reservation line to see if an early check-in upgrade is available. You are also welcome to enjoy our grounds and common areas while your cabin is being prepared.

Standard check-out is 11:00 AM. To allow our team sufficient time to clean and prepare cabins for incoming guests, late departures without prior approval are subject to a $50 per hour late check-out fee.

Early check-in and late check-out are considered upgrades and must be scheduled in advance. Please visit our Enhancements Page for more details.

Please take note that the propane fireplace and provided candles are safe, approved alternatives that do not involve an open flame. The fireplace is fully sealed and operates by remote control, and the both the standard and package enhancement candles are electric and flameless for your safety. 

DEPOSITS:

A 50% deposit (including tax) is required at the time of booking to secure your reservation. For reservations of more than three (3) cabins or stays of seven (7) nights or longer, full payment is due 30 days prior to arrival and will be automatically charged to the card(s) on file.

CANCELLATIONS: 

Cancellations fall into one of two categories, regular and premium dates. Please note the category of your booking upon reservation to denote which policy applies.


Regular Reservations

Cancellations made thirty (30) days or more prior to your arrival date will receive a refund of the deposit, minus a $25 cancellation fee to cover processing costs. Cancellations made within thirty (30) days of arrival are non-refundable; however, the deposit may be applied toward a future stay within one (1) year of the cancellation date.

For parties who do not show on their scheduled arrival date or shorten their stay after arrival, full payment is required for the cost of the entire length of the original reservation and will be charged to the card(s) on file.

Premium Reservations

Peak Dates, Group & Extended Short-term Stays

Cancellations for stays scheduled during fall foliage (September through the end of October), national holidays, and Middlebury College event dates, full payment is required for the entire reservation. This amount will be charged to the card(s) on file.

Cancellations for group reservations of three (3) or more cabins, or for short-term stays longer than seven (7) nightsfull payment is required for the entire reservation. This amount will be charged to the card(s) on file.

GIFT CERTIFICATES: 

We’re delighted that our guests want to share the RFMC experience with friends and loved ones through gift certificates! To make gifting easy and flexible, gift certificates purchased directly from us are transferable, non-refundable, and never expire.

Gift certificates issued in place of a refund for cancellations made within thirty (30) days of the reservation arrival date are valid for one (1) year from the cancellation date and are non-transferable.

QUIET TIME: 

The Robert Frost Mountain Cabins offer a space for both recreation and relaxation. To ensure every guest can enjoy their experience, we observe quiet hours from 11:00 PM to 7:00 AM. During this time, you’re welcome to explore and enjoy the grounds and common areas, but we kindly ask that voices and activity remain within your cabin and immediate party.

We deeply appreciate mutual respect among our guests. Those guests who do not adhere to this policy may be asked to leave, in which case the cost of their associated reservation will be charged in full to the card(s) on file.

FIRES & OPEN FLAMES: 

Due to the cabins’ timber construction, open flames are strictly prohibited at all times. This includes cigarette lighters, so please review the Smoking Policies below to avoid fines.

Campfires are permitted on the property - however, due to the safety considerations for our forest-based location and the arid impact of climate change, guests must receive pre-approval before lighting a fire in either the communal or private fire pits. Guests who proceed without prior approval may be asked to leave without refund.

Additional campfire rules:

Guests inexperienced with building fires are asked to seek assistance from our staff.

Campfires may not be left unattended

When finished, guests must ensure all remaining logs and embers are completely burned out or extinguished. Hoses are available on the side of Cabins 6 & 7 for the private fire pits, and water is available at the Loft for the central communal campfire.

SMOKING

In compliance with the Vermont Clean Indoor Air Act, all forms of smoking are prohibited indoors at Robert Frost Mountain Cabins. If you wish to smoke, please use the screened-in porch at the rear of your cabin and the ashtray provided.

Non-compliance with this ordinance will result in a $250 surcharge.

HOUSE COURTESIES

Before departure, guests are asked to complete the following tasks to enable our staff to make sure the cabins are as neatly prepared for the next guests as they were for you: 

Dishes: 

Please wash all remaining dirty dishes and return all clean, dry dishes to their cabinets. If the dishes are still wet or if you do not recall where they belong, please feel free to leave them in the drying rack and we will make sure they find their homes. 

Trash & Recycling: 

All trash must be bagged and placed in the “BEAR BIN” on the right side of the recycling shed between Cabins 5 & 6. When closing the Bear Bin, please securely latch the lid with the attached cable to help us prevent unwanted interactions between people and our rather large and opportunistic animal neighbors.

Recycling goes to the free-standing trash cans at the recycling shed between Cabins 5 & 6. The four middle bins are for general recycling whereas the two bins on the left side of the shed are for REDEEMABLE CANS ONLY. Each redeemable can is worth $0.05 to our schools and in a town as small as Ripton, every contribution matters.

CLEANING & REPAIR CHARGES

In the unfortunate event that any damage occurs to the cabins or property, guests will be notified by email with an itemized invoice and accompanying photos.

If a cabin is left in a condition that requires cleaning beyond our standard procedures, guests will be notified by email and invoiced at $50 per hour per housekeeper for the additional service.

If we do not receive a response within two (2) business days, we reserve the right to charge the card on file for damages, cleaning, and/or replacement items. We highly value open lines of communication with our guests and appreciate your involvement in creating solutions in a fair and transparent manner
